The workflow begins when a client books a session via a Calendly event. A Calendly webhook for the 'invitee.created' event triggers a custom server endpoint. This server-side logic then uses the Twilio API to programmatically create a unique, time-limited video room for that specific session. The server generates unique access tokens for both the coach and the client. It then sends calendar invites or emails to both parties containing the unique link to the Twilio Video room. Concurrently, the server uses the Discourse API to check if the client is a member of the community. If not, it can send an invite. After the session, a separate trigger or manual action can create a private, dedicated topic in Discourse for the coach and client to continue the conversation, share notes, and access resources.
